Please go through our terms and conditions mentioned below before booking your trip with us as they reflect the mutual understanding between Nepal Nirvana Trails and its clients. These terms and conditions are effective from the date you booked the trip with us and pay the initial deposit.

General Booking Condition

For the confirmation of the reservation, we require a deposit of 30% of the total cost of the excursion, which must be paid while booking from the website. The percentage of the booking is determined according to the trip cost.

The remaining amount should be paid in cash upon your arrival in Kathmandu before you commence your trek/tour.

Also, send your passport details, which are required for the permits, hotel, and flight bookings.

Note: If you prefer to make the total payment, bank service charges of 4% are levied by the clients at the time of deposit.

Cancellation of trips by the Clients

There can be several reasons for the cancellation or the rescheduling of the trip by the clients, in such cases, any cancellation by a client should be made via email and acknowledged by the company.

The cancellation fee, detailed below, is a percentage of the total trip cost on our package webpage.

  • Before 30 days: Full Refund of your Payment
  • Less than 30 Days: 20% of your Payment
  • Less than 15 Days: 10% of your Payment
  • No refund after the trip started

If you choose to leave a trip voluntarily after it has started, for any reason, you will not be entitled to any refund from the company providing the trip. This policy applies to clients who opt to exit the journey voluntarily after it has commenced, regardless of the reason. Clients will not receive a refund for any unused portion of the itinerary. Similarly, customers are not entitled to any refund for unused services they have paid for, such as transportation, sightseeing, meals, or accommodation.

Cancellation of a tour by the company

Nepal Nirvana Trails reserves the right to cancel any trip, including a guaranteed trip before departure in the event of natural disasters, flight cancellation, strikes, government intervention, pandemics, and other unforeseen circumstances or emergencies. In such cases, we at Nepal Nirvana Trails will have to refund you the amount you paid for us for the trek/tour.

Travel Insurance

Travel insurance covering accidents, injuries, illnesses, death, medical expenses, emergency repatriation (including helicopter rescue and air ambulance where applicable), and personal liability is highly recommended for all Nepal Nirvana Trails customers. We are happy to assist you with the recommendations (click here).

Select a policy that includes coverage for helicopter rescue costs in the event of a catastrophic accident or the onset of acute mountain sickness (AMS) in the mountains, as well as hospital bills. In dire situations, helicopter services are the only means of evacuation from the highlands.

Injuries During the trek

Throughout the journey, clients may encounter various adverse situations. However, the company will not be liable for any injuries, health issues, or emotional distress that may arise. Likewise, our package price does not include any form of personal insurance. Therefore, we ensure that guests are informed of the necessity to obtain suitable insurance coverage, which should include medical emergencies and helicopter evacuation if needed.

Delays/Cancellation of Trek and Flight and changes in the route

Mountain trekking is unpredictable due to the weather so bad weather can cause delays or cancellations in domestic flights, and crossing high passes, especially in the Everest, Dolpo, and Jumla regions.

In such cases, where your domestic flights are delayed during departure for your journey or while returning from the trek, the client is responsible for bearing all additional expenses including food (breakfast, lunch, and dinner) and accommodation (a guest house) costs caused in such circumstances.

You will also be responsible for any extra expenses if you opt for alternative travel arrangements, like taking a helicopter flight, to avoid aircraft delays and expenses incurred due to flight delays.

Visa and Passport

A Nepal Visa is available on arrival for most countries. Please ensure your passport is valid for 6 months validity when traveling to Nepal. For the information about the Nepal Visa (click here).

Last Minute Booking

We at Nepal Nirvana Trails are more than happy to arrange the last-minute booking for the trek and tours in Nepal depending on availability. In the case of last-minute booking, you have to pay the total cost of the trip before the scheduled departure time.

We'll not offer last-minute booking for outbound tours from Nepal Nirvana Trails such as Tibet and Bhutan. You are required to make a reservation here at least 10 days in advance. Please contact us and we will try our best to accommodate you.

Photographs and Videos

Nepal Nirvana Trails may use photographs and videos of you, which are taken during the trip for publicity and promotion purposes of our business through our websites and social media sites.
